The office tool for submitting applications is the "eFiling" online service (available at https://euipo.europa .eu/ohimportal/en/ap ply-now ). Existing files can be imported (and changed) from the EUTM repository or downloaded drafts. Applicants can also attach additional documents to their applications. As from the 1st of April 2022, The EUIPO has opened in a pilot phase the first public API based eFiling service for filing EUTMs, via its new API/development Portal and in accordance with the terms and conditions established at Executive Director's Decision EX-22-3. After the testing period, the Office is planning to make this service available to a wider group of interested customers, and extend it with more capabilities by the end of the year. We currently have paper dossiers, but a system is currently being developed.

Our office stores the documents in a custom-built J2EE system based on Filenet Integrated Management System (IMS). This legacy system is planned to be modernized as a cloud-native application with appropriate technologies (such as MongoDB), in the context of the EUIPO Strategic Plan 2025 (SP2025).

EPO do not use any commercial doc management system for our patent applications. The main repository system is PHOENIX. Other systems are MOSES (Multimedia Object StoragE Service) and KIME (Knowledge and Information Management Environment) storing content and documents. MOSES uses S3/Scality technology as storage system.

SPTO uses Universal Content Management (UCM) for document management.

Our department uses a JavaScript-based custom-built system which is supported by IBM FileNet Content Manager.

We use in-house developed front-end and back-end apps. Intranet web based back-end applications are used for administrators/examiners. Back-end applications communicate with the front-end module using web services for data exchange, synchronization and archiving in the registers (databases). The back office system processes and archives received requests, unpacks digitally signed XML files, converts DOC(X) attachments to PDF. Data is entered into Registers (PostgreSQL database) for archiving purposes.

We use the ELO system for content management.

Documentation is managed through a custom built module in Ptolemy. Ptolemy is an in-house custom built programme which acts as a database for documentation and allows for the management of subsequent documentation associated with a particular IP right throughout its life cycle.

Japan Patent Office uses a custom-built systems which store and manage documents depending on whether the submitted documents are in XML format or SGML format.

The office uses the WIPO Industrial Property Administration System (IPAS) and WIPO scan.

FileNet P8 Image Manager" to manage submitted images and attached files; and "BizStore Exus" to manage XML documents of specifications.

A recently developed patent administration system (back office) is currently in place to process, store, compile documents of national patent applications and patents, European patents and supplementary protection applications and certificates, to edit the data and to publish it in the SPB online databases and in the Official Gazette accordingly. The system includes the administration of all possible processes from the filing of the application to the expiry of the patent or supplementary protection certificate.

We do not have an content management system to store and manage documents.
